Position Summary:

Canvas Ventures is seeking a highly qualified Executive Assistant to provide administrative
support to 2-3 executive team members as well as help run the office. The individual in this role
will be a dynamic problem solver who displays the ability to work independently and exercise
good judgment in a variety of situations. As an Executive Assistant, this person will seek to build
relationships across the Canvas ecosystem with discretion, thoughtfulness, and urgency.
The position will be based in the San Francisco Bay Area and will require the ability to work
onsite 3 days a week in the Portola Valley office.



Key Responsibilities:

Operations/Administration

● Coordinate and calendar all Monday firm meetings, working with partners on scheduling
entrepreneurs’ pitches and internal team meetings. Ensure time-sensitive requests are
accommodated as needed
● Schedule and manage Head of Platform’s calendar and expenses
● Schedule and manage CFO/CCO’s calendar and expenses
● Serve as point-person with the firm’s IT vendor, coordinating coverage, onboarding and
onboarding of employees
● Serve as point of contact with all vendors for the Portola Valley Office and ensure
maintenance is conducted on time
● Manage inventory and supplies, including office equipment, stationery, and kitchen
supplies.
● Manage the Canvas software stack, including Slack, SproutSocial, Affinity, Pitchbook,


Events + Community

● Plan, coordinate, and execute Limited Partner events including our Annual Meeting
● Manage communication, coordination, onboarding, offboarding, and post-event
surveying across GTM Council programs
● Support Head of Platform in production of small entrepreneur and thesis dinners
● Help facilitate and produce quarterly GTM breakfasts


Platform + Marketing Operations

● Maintain Canvas Website (on Webflow), including adding new companies as they join
the portfolio, populating links to important portfolio news, refreshing firm specs, and
writing and updating team bio pages.
● Coordinate calendars and libraries of materials across platform agencies, including
conference/speaking opportunity lists and vendor directories
● Maintain brand and portfolio assets, and internal firm templates
● Monitor and track metrics and engagement across Canvas site, social media and digital
channels
● Track and maintain the platform budget, creating an internal share out on a quarterly
basis



Desired Qualifications & Characteristics:

● 3-5 years of experience working in marketing, operations, or communications across the
tech, financial services, or venture capital industries
● Exceptional written and verbal communication skills, demonstrated ability to draft
correspondences both internally and externally
● Excellent time management skills, demonstrated ability to manage a wide variety of
tasks with competing priorities
● Agility with a variety of software tools across project management (Airtable, Slack),
design (Figma, Powerpoint), social media (LinkedIn, Twitter, YouTube) as well as the
Microsoft Office and Google Suites.
● Proactive and resourceful mindset, ability to work independently and as part of a team
● Exceptional attention to detail and professional communication style
● Highly organized, able to excel and create structure in an ambiguous environment
● Ability to work onsite in Portola Valley
● Entrepreneurial and flexible team player with a positive mindset
● Results-oriented with a strong ability to communicate, prioritize, and drive to clarity in
moments of ambiguity
● Bias towards action


The target compensation range for this position is $100,000-120,000 per year plus benefits
