We are looking for a highly organized, proactive, and friendly Office Manager to be the heart of our Palo Alto office. The Office Manager plays a key role in overseeing daily office operations and fostering a positive, productive, and welcoming environment for employees, clients, and visitors. This position is responsible for ensuring the workplace runs smoothly and supports the overall well-being and efficiency of the office.
Responsibilities:
- Office Operations & Facilities Management:
- Oversee the overall cleanliness, organization, and functionality of the office space.
- Manage office supplies, equipment, and inventory, ensuring timely ordering and stocking.
- Coordinate and manage relationships with building management, vendors (e.g., cleaning services, snack/beverage providers, IT support), and contractors.
- Handle incoming and outgoing mail and packages.
- Ensure all office equipment is in good working order and coordinate repairs as needed.
- Manage conference room scheduling and setup for meetings.
- Implement and maintain office policies and procedures to ensure a smooth workflow.
- Administrative Support:
- Provide administrative support to various departments and leadership as needed.
- Assist our HR team with onboarding new employees, including workstation setup and initial office orientation.
- Help manage company calendars and provide support for onsite meetings
- Assist with data entry and basic record-keeping.
- Employee Experience & Culture:
- Act as the primary point of contact for employee office-related inquiries and needs.
- Help foster a positive and collaborative office culture through various initiatives.
- Assist in planning and executing company events, meetings, and celebrations.
- Ensure the office environment is welcoming and comfortable for all.
- Vendor and Event Support:
- Be available on occasion outside of regular business hours, including evenings or weekends, to support vendor deliveries, installations, or on-site company events as needed.
Requirements:
- Proven experience (3+ years) as an Office Manager or in a similar administrative role, preferably in a fast-paced tech environment.
- Exceptional organizational and time management skills with a strong attention to detail.
- Excellent communication (written and verbal) and interpersonal skills.
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) or Microsoft Office Suite.
- Proactive and resourceful problem-solver with a "can-do" attitude.
- Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
- Strong customer service orientation and a friendly, approachable demeanor.
- Ability to work independently and as part of a team.
- Flexibility to occasionally work after hours and on weekends to support office needs or events.
- Experience with facilities management software or tools (preferred).
- Knowledge of basic IT troubleshooting (preferred).

Compensation Range: $45 - $47 USD on an hourly basis. This role is classified as non-exempt and eligible for overtime compensation when applicable.
This is a fully on-site position. Candidates must have reliable and consistent transportation to our office location, as remote or hybrid work arrangements are not available for this role.
