This position plays a pivotal role in supporting the company’s Engineering VPs by providing high-level executive assistance, project management support, and comprehensive administrative services.
The position is a temporary 6-Month role.
Responsibilities:
- Optimizing the limited time of the R&D VPs by managing their calendars and being the go-to person for any calendar-related requests.
- Manage and concentrate day-to-day communication and updates from direct reporters to optimize meetings for essential topics and offload current updates and small tasks from the VP.
- Facilitate alignment within the department through effective internal coordination.
- Collaborating with the finance department to manage the general R&D budget, including monthly BVA concentration and approval of expense reports.
- Overseeing the PO process for new vendors and working directly with the finance team to monitor all of the department POs.
- Designing and creating workflows and work methods customized for the manager to shorten processes and optimize them.
- Handle special projects throughout the year, including R&D leadership initiatives, offsites, and team summits.
- Coordinate international travel for the R&D VPs, including booking flights, hotels, transportation, preparing itineraries, and handling travel documentation and expenses.
Requirements:
- Proven experience in an administrative role, with a preference for Executive Assistant (EA) experience.
- Proficiency in MS Office, particularly MS Excel and MS Outlook.
- Strong time management skills, multitasking abilities, attention to detail, and problem-solving capabilities.
- Excellent written and verbal communication skills in English.
- Strong organizational and planning skills, even in a fast-paced environment.
