Position: Executive Assistant
We are looking for a highly experienced, energetic, hyper-organized, and motivated Executive Assistant to handle a wide array of administrative tasks to support the work of our senior leaders.
Roles and Responsibilities
- Provide extensive calendar support and regularly supervise and adjust the senior leader's calendar and schedule. This will include giving reminders as required, be available for last-minute changes, proactively prioritize meetings and resolve conflicts.
- Provide support to the Board of Directors to organize and schedule monthly and annual meetings. Requires regular communication with advisors and/or their assistants.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the senior leader's ability to effectively lead the company.
- Thoroughly research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
- Research, book, and coordinate travel. Ensure required travel documents are in place, build itineraries, maintain travel credits, points, and expenses, maintain, and update calendar, and liaise with required parties at travel destination(s).
- Process expense report for the leaders and his/her direct reports and advisory members. Liaison with accounting to ensure payment is processed.
- Maintain memberships and subscriptions including setting calendar reminders, handling correspondence, and processing payment.
- Assignment of special projects as requested.
Position Requirements
- Brentwood, TN Location
- At least 8 years administrative support experience, executive level preferred
- Bachelor's degree is preferred.
- Excellent time management skills and ability to demonstrate high attention to detail.
- Confidence to function in a role that requires a high degree of flexibility with the ability to independently interpret policies and solve non-routine, complex issues under minimal supervision.
- Utilizing your strong interpersonal skills, you easily build relationships with investors, staff, business associates, and board members.
- Regularly handle confidential information with utmost discretion and confidentiality
- Ability to be flexible and available as needed throughout the workday.
- Self-starting, critical problem solver who can switch priorities at a moment’s notice with minimal or no direction.
- Ability to present a positive and respectful front in all situations.
- Desire to work in entrepreneurial environment and be committed to our mission.
- Strong proficiency in Microsoft Office suite; advanced Outlook, Word, and PowerPoint skills
- Experience with technologies such as Concur, Zoho, video conference systems, and Zoom.
