About the role

 

The Forterra Mission Support team is seeking a Fleet Administrator who is highly organized and detail oriented to oversee the operational efficiency, safety, and compliance of our vehicles. This role is responsible for driver management, maintenance coordination, vehicle recordkeeping, fuel management, regulatory compliance, and vehicle shipment logistics. The ideal candidate will bring a proactive approach to managing all aspects of fleet operations with a focus on accountability and cost control.

 

 

What you'll do

  • Driver Management and partnering with our Customer Success group.
  • Track driver schedules, certifications, and performance.
  • Maintenance Coordination.
  • Schedule and monitor routine and unscheduled vehicle maintenance.
  • Maintain records of all service and repair activities.
  • Coordinate with vendors and internal stakeholders for timely maintenance completion.
  • Vehicle Records Management.
  • Maintain accurate documentation for all fleet assets including service logs, mileage, and assignment history.
  • Support audits and inventory management with up-to-date vehicle data.
  • Fleet Fuel Management, oversee fuel usage with possible reporting and potential to integrate fuel card program.
  • Analyze fuel spend and usage patterns to identify cost-saving opportunities.
  • Registration, Licensing & Compliance.
  • Ensure timely registration renewals, inspections, and licensing.
  • Maintain compliance with all local, state, and federal transportation regulations.
  • Vehicle Shipment Logistics to include but not limited to:
    • Setting up shipments.
    • Organizing records.
    • POC with broker, coordinating with loading and unloading personnel, and critically thinking about the situation at hand.
    • Coordinate vehicle shipments for new deployments, relocations, or offboarding; being able to intake information and find gaps or thinking through what problems may arise.
    • Schedule and track shipments with internal teams and external transport providers.
    • Ensure shipment documentation is accurate and delivered on time, such as BOLs, PRO#s, etc.

Qualifications

  • Fleet Shipping and Receiving - Identify brokers, coordinating with POCs on shipping receiving end, strong communication skills, Microsoft Planner, Document Management skills, work with team to ensure proper spec sheets are issues for vehicles.
  • Fleet Administration - Document management, Microsoft planner, Fleetio, Vehicle PM services, Experience with JIRA, strong communication skills, comfortable with MVA steps, including vehicle registration, etc.

  • Strong understanding of transportation regulations and logistics principles.
  • Familiarity with DOT regulations, familiarity with transportation logistics, tie-down and eight regulations, hot-shot routes throughout the country.

Preferred Qualifications

  • Strong organizational and problem-solving skills.
  • Excellent verbal and written communication.
  • Comfortable working with SharePoint for things like spreadsheets and scheduling.
  • Eagerness to improve process and build out how to train on new processes.
  • Knowledge of DOT and vehicle compliance standards.
  • Prior experience in fleet administration, logistics coordination, or operations support.

Education & Experience

  • High school diploma required; Associate or Bachelor degree preferred.
  • Experience with a variety of platforms and customers, both internal and external.

 

US Salary Range

$55,000 - $65,000 / year

The salary range for this role is an estimate and is based on a wide variety of compensation factors. The salary offered to candidates will vary based on a variety of factors including (but not limited to) relevant work experience, education, specialized training, critical expertise, training, and more. Equity in Forterra is included in most of our full-time, high-demand roles and is therefore considered part of Forterra’s overall compensation package. In addition to base salary and equity, Forterra offers competitive benefits for full-time employees including:
