We are seeking to hire a Recruitment Coordinator to join our Human Resources team based at our corporate headquarters located in Andover, MA, USA which is about 30 minutes north of Boston.

The Recruitment Coordinator impacts the Company by assisting the Talent Acquisition team with the daily administrative duties involving the acquisition of top talent and is an integral Employment Brand Ambassador responsible for ensuring a positive Candidate/Employee experience while engaged with the Company during the recruitment process and post hire.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Serve as Employment Brand Ambassador for the Company by working with the Talent Acquisition team and the hiring manager to carry out the day-to-day administrative duties involving the acquisition of top talent.
  • Work with the hiring manager to create accurate job profiles for new positions.
  • Create job templates within the Silkroad Applicant Tracking System.
  • Create and route requisitions to approvers for approval.
  • Post approved requisitions on the Company’s website and to approved career websites and university boards.
  • Provide the Talent Acquisition team with assistance coordinating and scheduling interviews via telephone/video conference/in person and onsite and off-site.
  • Book conference rooms and host candidate while on-site ensuring beverage/food is available and the interview moves along as scheduled.
  • Collect interview feedback forms and upload them to SharePoint.
  • With guidance, process references, create draft offer letters and employment contracts.
  • With guidance, create agency agreements, obtain required documentation to establish and maintain agency relationships, and assign job postings to agencies.
  • Conduct employment related research and assist recruitment team with electronic and other methods of sourcing candidates.
  • Perform initial connection with applicant to assess qualification and interest level.
  • Serve as a resource for recruitment policies, procedures, and practices to hiring managers, HR staff, and others. Refer complicated questions to recruiters and other staff as appropriate.
  • Participate in and provide analytical support in the design, development, and implementation of recruitment projects and programs.
  • Coordinate and participate in job fairs, community activities, and other public and departmental recruitment-related events.
  • Provide potential candidates/applicants with benefits summary information, respond to applicant questions, and collect applicant data.
  • Develop and maintain knowledge of recruitment, employment, compensation, benefits, pay administration, and other related organizational policies, practices, procedures, and/or regulations.
  • With guidance from the Immigration Specialist and Director, Employee Relations will develop and maintain an understanding of the immigration and re-certification processes and respond to inquiries related to immigration and re-certification as directed.
  • Assist with identifying issues affecting recruitment and work with the Talent Acquisition team to implement recruitment activities to continuously improve process.
  • Performs backup front desk duties.
  • Participates in HR projects as assigned.

QUALIFICATIONS:

  • Undergraduate degree.
  • 2+ to 5 years of related experience involving recruitment coordination.
  • Team player and able to develop and maintain working relationships with all constituents (internal and external).

  • Experience maintaining discretion, confidentiality, and sensitivity concerning confidential HR situations and protects personnel data.
  • Basic user experience with Microsoft Office, SharePoint and phone/video conference tools required.
  • Experience using SaaS based tools; Silkroad and SkillSurvey.
  • Professional level telephone etiquette and communication skills.

  • Able to keep several projects going at once without losing any details is a must to succeed in this role. Able to be resourceful and proactive in dealing with issues that may arise.
