Description

Aetion is seeking an Associate, Office of the CEO to support the planning and execution of the CEO’s top priorities. The Associate will contribute to Aetion by ensuring that the CEO’s time is organized efficiently and productively. This position requires strategic thinking, relentless prioritization, and constant and proactive identification of support needs in an ever-changing environment. The Associate is someone who is highly organized, detail-oriented, personable, and able to think bigger picture. 

Responsibilities 

Administrative: Calendaring and travel

  • Calendaring meetings | Work with internal and external stakeholders to calendar meetings; Maintain meetings and daily schedules in a proactive, forward-thinking fashion
  • Travel | Support trip planning, book agreed-upon travel 
  • Meeting locations | Book appropriate internal and external meeting locations

Executive briefing

  • Meeting prep | Ensure there is proper meeting preparation; research companies, participants, locations, and other aspects as necessary in advance of key internal and external meetings. 
  • Daily and weekly preparation | Prepare a “weekly prep” document for the CEO, send CEO reminders on high priority items on a daily basis 
  • Maximize calendar efficiencies | Track priorities and align time requests to keep the CEO focused on high-leverage activities.

Project support 

  • Task tracking | Support Director, Office of the CEO in following up on status of items that the office of the CEO is tracking 
  • Data analysis | Analyze data from multiple sources and prepare slides for internal reporting meetings 
  • Document editing | Review drafts of decks and documents as needed

Qualifications

  • Bachelor’s Degree 
  • 3+ years of related experience
  • Eager to learn, with ability to quickly get up-to-speed on various topics and connect the dots 
  • Extremely detail-oriented, but doesn’t lose sight of the big picture 
  • Strong project-management skills with ability to manage multiple, shifting priorities in a high-demand, fast-paced environment
  • An intuitive mindset; able to stay a step ahead at all times
  • Strong relationship building/interpersonal skills; client-facing background is a plus
  • Comfortable with ongoing change and working with ambiguity; good business judgment and asks the right questions
  • Excellent oral, written communication skills
  • Focused approach to work. Must be comfortable working with staff at all levels of the organization including C-Suite
  • Strategic thinking and EQ
  • Able to adapt to and use various technology (Mac, Google suites, MS office, etc.)
  • Level-headed and works well under pressure
