AbleTo’s New York office location is looking for a dedicated Receptionist/ Office Assistant to handle client-facing duties, provide support to staff as well as general office management duties. This individual will be the first point of contact for the AbleTo New York office, provide a friendly, welcoming face and a helping hand. The ideal candidate has excellent communication and multitasking skills, a positive attitude and a strong work ethic. We’re looking for a talented and passionate individual to join our team and to lead the customer service team to greater heights. Supporting on average an office with up to 100 full-time employees. 

NOTE: The expectation is that this individual will be able to sustain a full-time in-person presence at our New York office five (5) days per week.

The Primary Responsibilities: 

  • Greet clients and visitors as needed
  • Maintain and distribute supplies throughout the office including kitchen, restrooms and printers.  Organize and maintain office common areas
  • Manage & monitor hoteling software. Manage and assist booking conference rooms
  • Ensure overall office cleanliness and coordinate with building maintenance staff regarding maintenance needs
  • Serve as the point person for scheduling  office maintenance and repairs for various equipment, including Air Conditioning, Fire Alarm system and Printers
  • Fulfillment of document scanning/ printing requests
  • Assist in the set-up of various events, meetings held in the office - including weekly company office lunch 
  • Coordinate with HR and the Fun Committee on organizing recreational activities for employees (i.e. summer outing, holiday festivities)
  • Maintain inventory of office supplies and order supplies when needed
  • Provide telephone coverage and handle urgent calls with appropriate judgment. 
  • Fulfillment of document scanning/ printing requests
  • Handles sensitive/ confidential documents and information responsibly, and with integrity; including office mail

Position Requirements:

Education/Experience:

  • Bachelor’s degree(preferred) with one to two years of work experience preferred. 
  • 1-2 years of experience in similar position

Competencies:

  • Strong writer with advanced G-Suite and PowerPoint and Excel skills strongly preferred. 
  • Interest in healthcare and desire to work within a high growth environment.
  • Exceptional personal presentation skills.
