Job Description

Position Description: The Human Resource Generalist/Office Manager will manage activity across several core business functions, including human resources, facilities and administrative support.  This position works closely with a variety of leaders across the organization and reports to the Director of Human Resources.  HR responsibilities will include running the daily functions of the HR department, coordinating interviews, onboarding new hires, processing payroll, administering benefits, planning and executing team events, and handling staff communication. Office management responsibilities include the maintenance of office security, protocols, inventory, and organization to promote organizational effectiveness, efficiency, and safety. 
 
Human Resources Responsibilities: 
  • Supports employees and managers throughout employee lifecycle in employment-related matters
  • Assists in the hiring process, including job description preparation, resume review, interview coordination, and background checks
  • Leads onboarding for new hires by handling new hire communication, provisioning new hire equipment and conducting orientation and training 
  • Handles offboarding activities such as employee communication, equipment collection and final pay
  • Partners with IT to coordinate activities for new hires and terminations 
  • Maintains HRIS system by keeping employee data updated and monitoring key HR departmental metrics 
  • Processes company payroll biweekly timely and accurately
  • Assists in development and implementation of human resource policies
  • Responds to employees’ HR-related questions and issues
  • Prepares HR and Payroll related reports
  • Maintains strict confidentiality of sensitive company and employee data
  • Other duties as required  
Office Manager Responsibilities:
  • Greets visitors and serves as central point of contact for office and facilities-related matters
  • Organizes office events such as weekly lunches and snacks, company events, and charitable activities
  • Handles day-to-day office operations such as managing office and kitchen supplies and ensuring clean and proper demo and conference room setup
  • Maintains vendor relationships related to facility management to ensure all office equipment and facilities are maintained
  • Assists employees with existing technology such as G Suite, O365, HRIS, ATS, and other applicable software and hardware 
  • Facilitates document storage and retention best practices 
  • Assists with space planning initiatives related to upcoming office relocation and build out
  • Collects and distribute mail and manage the company’s shipping and receiving needs 
  • Other duties as required 
Knowledge & Skills Required:
  • Bachelor’s degree in related field from recognized institution or equivalent by experience
  • 1-5 years of professional experience 
  • At least 1 year of human resource management experience 
  • At least 1 year of payroll processing experience
  • Office administration experience 
  • Experience working in a start up or tech company preferred
  • Hands-on experience with G Suite preferred 
  • Team player with excellent communication and problem-solving skills
  • Exceptional attention to detail 
  • High degree of professionalism and confidentiality 
  • Ability to learn quickly; adapt to new and unfamiliar projects/tasks; and make correct decisions without constant oversight
  • Prior experience in building and maintaining vendor relationships
  • Active Notary Public in Florida preferred (or willing to pursue)
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer
  • Frequently required to stand/walk 
  • Capable of lifting at least 50 lb of weight
