Curology is currently seeking an energetic, highly detail-oriented and exceptionally organized individual to join our Medical team as our Medical Administrative Assistant. This person will manage all vacation scheduling needs for a 100+ person team related to Paid Time Off (PTO)/Off The Grid (OTG), CME (continuing medical education), extended leaves of absence and PSL (paid sick leave). This will include maintaining multiple provider calendars, approving changes accordingly, communicating vacation days to the entire medical leadership team to ensure the smooth communication with the medical leaders team to maintain accurate OTG balances in our payroll system. 

What you'll do

    • Manages PTO/OTG Calendar and balances (includes PTO/OTG, PSL and CME) for a growing team of 100+ providers 
    • Maintain multiple calendars for full-time medical providers, medical provider administrative leaders, dermatologists, and physicians 
    • Coordinate provider leave of absences with PTO/OTG calendar and Workday
    • Communicate daily with the medical team about who is going on and off of leave
    • Lead bi-annual “OTG Open Enrollment” and “Holiday Lottery” events
    • Process multiple changes to vacation and leave requests 
    • Lead trainings for new medical providers to ensure providers understand the process for taking time off from work
    • Update the Payroll Exceptions Report with necessary updates
    • Maintain correct information in Workday and perform necessary audits to ensure accuracy
    • Manages leaves of absence initiations, updates and changes for the medical team
    • Data entry for high-level spreadsheets that help determine future hiring projections on the medical team
    • Perform other administrative duties as assigned 

Who you are

    • Associates or Bachelors degree preferred
    • Minimum 2 years of administrative/clerical experience in an office setting preferred
    • Able to multitask and prioritize work efficiently with a critical eye for detail 
    • Superior organizational skills, with a great level of flexibility 
    • Knowledgeable of multiple software programs, including but not limited to Google Suite, ADP, Microsoft Word and Excel
    • Ability to demonstrate exceptional written and verbal communication skills; listen effectively and ask questions when clarification is needed
    • Possess the ability to manage changes or unexpected events appropriately
    • Ability to maintain a professional attitude even in stressful situations
    • Must be able to maintain absolute confidentiality regarding department information
    • Must have the ability to work well within a team environment and independently
    • Strong analytical and math skills a plus
