Job Description
We are looking for a versatile and highly-organized Personal Assistant to perform personalized administrative duties for the company, CEO, and senior management. You’ll help the CEO to make the best use of his time by dealing with secretarial and administrative tasks.
PAs need extensive knowledge of the organization in which they work. You'll need to know who key personnel are, both external and internal, and understand the organization’s aims and objectives.
To ensure success as a Personal Assistant, you should exhibit excellent organizational skills and demonstrable experience in a secretarial role. Accomplished Personal Assistants are intuitive to the needs of the company’s CEO and work autonomously to provide customized administrative support. Discretion and confidentiality are therefore essential attributes of a successful PA.
Responsibilities
- Reporting to the company’s CEO and performing secretarial and administrative duties for the whole company (US and Greece entity)
- Managing CEO’s agenda
- Managing internal and external correspondence on behalf of the CEO. Read and write correspondence in mail or email form.
- Attending and taking Meeting notes for exco, management, Board of Directors etc meetings
- Organizing and attending meetings and ensuring the CEO is well prepared for meetings
- Act as the first point of contact for the CEO as necessary
- Scheduling appointments, maintaining an events calendar and sending reminders
- Managing CEO’s social media accounts (LinkedIn, etc)
- Typing, formatting, and editing reports, documents, and presentations.
- Manage HR Consultant’s calendar (personal & netdata)
- Arrange meetups for the whole company (air tickets, hotels, taxi etc)
- Ordering office supplies and replacements, as well as managing mail and courier services

Job requirements
- Proven experience (3+ years) working as a personal assistant required
- Bachelor degree
- Excellent verbal and written communication skills
- Fluency in English
- Ability to multitask and prioritize daily workload
- Excellent word processing and IT skills, including knowledge of a range of software packages
- Exceptional organizational and time-management skills
- Proactive and enthusiastic about delivering positive results
- Ability to work under pressure and to tight deadlines
