We are looking for an experienced Executive Assistant to help support our senior leadership team. The role will provide primary support to our CEO and report directly into him. The ideal candidate has worked in fast-paced, rapidly growing organizations, and understands how to anticipate the needs of leaders and follow through with getting the job done. As a gatekeeper, you will help give back the gift of time by proactively managing calendars and making sure that leaders are supported with the right information for meetings. This candidate brings a demonstrated track record of administrative success and is highly productive with little managerial oversight. They understand the big picture while balancing and prioritizing numerous day-to-day demands for a dynamic and global leadership team.  


Main Tasks:

    • Provide administrative support to our CEO by preparing meeting minutes and participating in weekly meetings for all of the CEO’s direct reports
    • Prepare for and attend weekly leadership team meetings
    • Maintain the CEO’s list of ToDos and follow up on commitments and deliverables other people have made to the CEO
    • Provide administrative support for senior leaders where required
    • Plan and schedule appointments and events
    • Act as the point of contact between the leadership team, employees and customers 
    • Create reports and prepare presentations
      • Make travel arrangements
      • Manage phone calls and emails
      • Respond promptly to queries
      • Facilitate internal company communications
      • Other duties as required

Main Requirements:

      • 5+ years of proven work experience as a senior executive assistant 
      • Extreme attention to detail as well as the ability to multitask, juggle changing priorities and work independently.
      • Solid experience with G Suite, office management systems, CRMs and MS Office
      • Familiarity with managing online calendars and cloud systems
      • Experience with exercising discretion and confidentiality 
      • Excellent organizational and communication skills with an ability to think proactively and prioritize work

Nice To Have: 

    • Ability to work occasional evenings 
    • Background in communications or public relations Experienced in SaleForce and a background in conducting research projects
