Job Description Summary: 

As HR Administration Specialist you will be supporting Employees and Line Managers in different HR tool and process-related questions. Your daily work will be including a range of HR-related tasks – from onboarding, through preparing official HR documentations, benefits administration, as well as training and other administrative tasks and projects that may be essential to respond to the daily business need of Groupon employees.

As a team member, you will be partnering with Personnel Administration Team Leader and Personnel Administration Manager & Compensation & Benefits Business Partner in Poland to ensure and protect HR effectiveness.

Key responsibilities:

  • Preparing and verifying employment documents, civil contracts, job and remuneration certificates 

  • Maintaining employees records;

  • Ensuring that changes are entered correctly and on a timely basis;

  • Collecting, verifying and managing all internal changes, i.e. positions, bonuses, changes of employees personnel and contractual data; 

  • Obtaining the authorized signatures for all internal and legally required documents;

  • Providing orientation and on-boarding for new hires and assisting new hires in completing employment formalities, e.g. supporting foreign employees in the legalization process;

  • Collecting payroll supporting information and cooperating with the payroll team on a regular basis;

  • Supporting employees and managers, i.e. providing counselling in terms of Labour law and payroll legislation, internal procedures;

  • Supporting employee-related claims; addressing any employment relations issues, cooperating with the legal department in terms of solving court cases and other litigation;

  • Conducting training sessions for employees and managers;

  • Maintaining the relations with the benefits vendors;

  • Preparing reports and analyses, presentations, handouts;

  • Cooperating with WFM team in terms of workforce planning and time tracking;

  • Actively identify gaps in processes, propose and implement changes to cover risk and improve HR effectiveness;

  • Support in policy updates, HR projects and associated manager training;

  •  Supporting Senior Administration Specialist and HRBP in managing current employee satisfaction and productivity, ensuring that the workplace is always running efficiently;

  • Supporting compensation surveys analyses.

Desirable Skills: 

  • Good knowledge of English – minimum C1 (good knowledge (B2) of other languages would be a plus, preferred German, French, Spanish, Italian)

  • 2-3 years of experience in HR Administration or HR Operations Role, 

  • Good knowledge and being up to date with Polish labour law rules and regulations  

  • Ability to analyze business processes and determine ways for efficiency.

  • Ability to work effectively but still having an eye on attention to detail, accuracy and ability to work under pressure.

  • Ability to work with a collaborative work style and effectively handle employee inquires.

  • Ability to implement new regulations and/or applications quickly and effectively.

  • Ability to maintain confidentiality and/or sensitive business information.

  • Strong written and verbal communication skills.

  • Strong planning and organizational skills.  

  • Proficient in Microsoft Excel, PowerPoint and Word.

  • Analytical mindset;

  • Can-do attitude
