Talent Operations Specialist at ClassPass

About the Role:

The Talent Operations Specialist will work across the recruiting team to drive process standardization, system adoption, and supporting solving hiring challenges using data. Additionally, this role will be responsible for the tactical day-to-day recruiting coordination, on-boarding and overall candidate experience.  You're right for this role if you like to make processes more efficient, are willing to roll up your sleeves and provide support where needed, work well with ambiguity, and enjoy fast paced and agile environments. 

Key Responsibilities:

  • Coordination: 
    • Standardize job templates, Create job requisitions, track progress, and post/update job postings across various systems and job boards (Greenhouse, LinkedIN)
    • Support loading rubrics, tasks, assessment and/or case studies into Workday
    • Work creatively to provide the recruiting team with technical support for various system inquiries
    • Hands-on recruiting: full life-cycle recruiting for a small number of requisitions and provide sourcing support to recruiters for mission critical  to fill positions
    • Support scheduling when needed
    • Maintain documentation and support in defining and talent acquisition workflow and processes
    • Prepare and send employment agreements for candidates 
    • Onboard new hires into our HRIS system (Workday) 
    • Ensure all new hire paperwork is filed in Workday
    • Function as a subject matter specialist on our key systems, including: Greenhouse (our Applicant Tracking System) and Gem (our Candidate Relationship Management system)


  • Analytics: 
    • Maintain data integrity, ensuring absolute accuracy of all information between multiple systems
    • Conduct regular data and process audits to ensure data quality and identify areas of potential process improvement
    • Generate a variety of reports for different tasks (e.g. to audit requisitions in Workday, headcount reports, validate completion of background checks for new hires, weekly recruiting analytics)
    • Partner with the Recruiters and HRBP to align on accurate headcount projections and maintain data tracker
    • Support DEIB data and reporting


  • General Support: 
    • Collaborate with internal onboarding partners (EX Team, HM) to ensure a positive onboarding experience for all new hires
    • Initiate and audit background checks
    • Vendor contract management, track renewals, review invoices and submit for payment
    • Routinely partners with Legal, to ensure that offers letter templates are current and compliant by location and up to date in Docusign
    • Partner with Marketing, Recruiting and Operations to create and maintain external employer brand on multiple platforms (LinkedIn, Glassdoor, Careers Page, Instagram)
    • Assist with Immigration data gathering and Talent assessment in Envoy
    • Other projects as assigned

Skills & Experience:

  • 2+ years of experience with in-house recruiting operations, recruiting, or coordination
  • Hyper attention to detail, you pay attention to the small stuff
  • You love problem solving and have a natural curiosity to independently determine how things work
  • Strong communications skills and the ability to effectively interact with internal business partners at all levels of the organization
  • Super powers with Google Sheets (or Excel) (bonus points for Tableau experience)
  • Experience with an Applicant Tracking System (Greenhouse/Workday experience a plus)
  • Start-up experience preferred
