We are seeking a highly-motivated, executive administrative professional to join our Clinical, Biometric, and Regulatory Affairs team. The position reports to the chief medical officer, providing support and coordination for multiple projects and activities, including work with sensitive and confidential information. In addition to various general administrative tasks, this role will include coordination of meetings, workshops, presentations, expense reporting, and extensive travel.
- Coordinate activities and provide support for the chief medical officer and senior vice president of research and development, as well as others on the CBRA team;
- Organize complex schedules and calendars for senior level staff, including prioritizing and managing conflicting responsibilities on behalf of assigned executives;
- Coordinate complex U.S. and international travel arrangements;
- Work closely with other administrative assistants supporting members of cross functional teams to schedule meetings and travel;
- Prepare and maintain complex itineraries;
- Liaise with partner company to coordinate meeting and travel arrangements;
- Track individual travel expenditures and prepare expense reports;
- Compile clinical-related documents and create, file and archive binders to support team activities and meetings;
- Design and produce presentations and reports using the Microsoft Office Suite, particularly with PowerPoint, Word, Excel, and Access;
- Work on various projects in collaboration with other administrative staff supporting members of cross-functional teams;
- Perform other general administrative duties such as filing, faxing, organizing office space, maintaining and ordering supplies, picking up and processing mail, photocopying, preparing cover letters, etc.
- Associates degree or bachelors degree and 5 years of executive level administrative experience, or high school diploma with at least 10 years of administrative experience in a similar, fast paced, environment;
- Superior organizational, administrative, and analytical skills;
- Ability to manage and prioritize multiple tasks with strong attention to detail;
- Excellent judgment and discretion when managing email and projects;
- Constructive and positive interpersonal skills (enthusiastic, upbeat) with the ability to interface effectively with a wide variety of internal and external clients;
- Excellent verbal and written communication skills;
- Self-motivated and flexible, with a willingness to learn new concepts;
- Advanced proficiency with Outlook, Excel, PowerPoint, and Word
- MS Project and Visio experience desirable;
- Experience in the biotech or pharmaceutical industry a plus. | | | |
