Overview:

Calix is seeking an Office Coordinator. This position requires a service-oriented individual that has outstanding attention to detail, has good communication and multi-tasking skills and can work well with internal customers and external vendors


Responsibilities:

* Answer reception phones and transfer calls.
* Greet all visitors in a professional and friendly manner, direct all vendors/visitors.
* Ensure all vendors/visitors have signed a Non-Disclosure Agreement (NDA) and enter information in NDA maintenance system.
* Send and receive faxes, scan documents, etc
* Coordinate and order lunches for meetings, training sessions, etc.
* Ensure the reception and its surrounding areas are neat and orderly.
* Perform daily facility walk thrus and straighten as required, checking conference rooms, break areas and all common areas.
* Order/fill office/kitchen supplies and process business card orders
* Copier/fax and printer coordination – fill paper in units and adjacent cabinets daily.
* Coordinate repairs with vendors as needed.
* Perform new employee and visitor on board preparation, including workstation set-up/clean-up, workstation signage, phone set, stationery, etc.
* Sort and distribute mail/packages.
* Enter Purchase Requisitions in processing system and track progress.
* Perform minor repairs throughout the facility.
* Coordinate involved repairs thru the property management or direct with vendors. Have knowledge of trade vendors in our area.
* Coordinate furniture orders, installations, etc with appropriate vendors.
* Assist with coordination of Facility decoration, move and/or expansion projects for the existing and/or new building.
* Coordinate with landlord and property management office for facility related issues.
* Perform facility safety walk thrus and identify problems areas, follow thru on rectifying those problems, maintain logs, etc
* Perform shipping and receiving duties for both domestic and international packaging. Requires knowledge of international shipping custom forms and procedures;
* Responsible for all interview arrangements; establishing schedules, setting conference rooms etc, assists interviewees through the entire interview process.
* Schedule wrap-up meetings after the interview of each candidate.
* Coordinate with FESCO for our employees mandatory and supplementary benefits inquiry, confirmation, etc.
* Coordinate with FESCO for the registration of the employee’s onboard and termination.
* Administration of documents.
* Initiates administrative guides and procedures, ensure effective implementation.
* Organizes employee activities such as annual gatherings, team building, etc.
* Help engineering groups collect technical data
* Help management track and forecast budgets.
* Assist departments with administrative and various projects as needed.



Qualifications:

* 3 years experience working in an office environment with an emphasis in Facilities
* Excellent negotiation, communication and interpersonal skills; Proactive and solution-driven
* Strong sense of responsibility
* Hands on experience in implementing all of the above responsibilities
* Excellent verbal and written skills in English and Mandarin
* Very experienced with office tools such as MS Word, MS Excel, MS PowerPoint, etc.
